Refund Policy

A. SCOPE

  1. This Refund Policy will apply to all students of the institutions under BAC Education Group (“BACG”) [i.e. Brickfields Asia College (Malaysia), Veritas University College, IACT College, Reliance College and University Malaysia of Computer Science & Engineering (UNIMY)].
  2. Rules and Regulations set by the various academic programmes, Hostel and International Student Office are to be read in conjunction with this Refund Policy.

B. PAYMENT OF FEES

  1. Once enrolled on the course / programme, the student is strictly bound to pay the agreed full fees.
  2. Instalments are allowed merely to facilitate payment of said agreed full fees and in the event of a withdrawal, do not amount to an automatic entitlement for refund / non-continuation / cancellation of payment. Agreed full fees remain payable.

C. REFUNDS

  1. Notice of withdrawal must be given in writing (notice via email is accepted) to the respective Programme Coordinators. The Withdrawal Form is available on the online system (CampusOne).
  2. Upon the withdrawal being processed, the student may be eligible for a refund (as per Para 3 below).
  3. Refunds may be provided as follows:-

  4. Every student will be charged a non-refundable Resource Fee at the commencement of each academic year/ each programme (depending on the duration of the programme). This Resource Fee covers the cost of equipment, technology, facilities and other resources as the case may be, including and not limited to the e-learning resources such as the Learning Management System (LMS), library (online as well as physical), gym facilities and other facilities that support the learning experience of students (whichever is applicable).
  5. Where a material fee or other fees related to the courses, which is separate from the tuition fees, is payable for a course, these fees are not refundable.
  6. The University / College will STRICTLY NOT provide a refund if:-
    1. The student is suspended or expelled due to misconduct;
    2. The student has a change of mind, elects to self-study or transfer to another institute for higher education, for reason other than the University / College being unable to deliver the course offered;
    3. The student provides any false, incomplete, misleading information or fraudulent documents either in their course application, any agreement or at any time thereafter to the College; or
    4. The University / College is prohibited from doing so by the law and applicable regulations.

International Students

  1. The Visa application fee / Visa renewal fee and admin fees are due upon registration with the University / College. These fees are non-refundable.
  2. The international bond fee is a payment remitted to the Malaysian Immigration. It would only be refunded upon due completion of the Programme and successful cancellation of the Visa by the Malaysian Immigration.
  3. Any other fees which have been paid to Education Malaysia Global Services (EMGS), if unutilised, may be refunded, at the full discretion of EMGS.
  4. Refund of Course Fee may be provided as follows:-

Deferrals

  1. No refund will be made in the event a student defers the course. The fees paid will be transferred to the student’s next intake. The deferral will only be allowed for the duration as prescribed within the selected programme’s terms for deferral period and a Deferral Fee may be charged by the University / College accordingly (where applicable). If a Deferral Fee is payable, no deferral is valid until timely payment of such Deferral Fee.
  2. Students who do not recommence the programme within the said semesters (as set out in paragraph 1 above) will have to drop-out of the programme and any fees unutilised for the future semesters will be refunded. If a Student wishes to continue the programme at any point thereafter, the Student will have to register as a new student.
  3. For further information on deferrals in respect of each programme, please contact the respective Programme Coordinators or the University / College.

Others

  1. If the fees paid by the Student exceed the amount payable for a semester / year, the excess fees to will held by the University / College as payment towards fees for the next semester / year.
  2. In the event of withdrawal:-
    1. If the Student was granted an academic bursary by a third party for the study of the Programme, a refund (if any) will be returned to the third party sponsor.
    2. For Malaysian Students under the PTPTN education loan, a refund (if any) will be returned to PTPTN.
    3. If the event the fees were paid via sums withdrawn from EPF, the refund (if any) will be returned to EPF.
    4. If the Student was granted a BACG scholarship for the Programme, the scholarship / early bird promotions / rebates shall be withdrawn and the prevailing course fee will be applicable. A shortage in fees (if any) shall be paid by the Student to BACG or to the respective University / College.
    5. If the Student had registered for the Programme with a value-add package, the prevailing programme fees and course fees will be applicable respectively. A refund shall be on a pro-rated basis (if applicable). A shortage in fees (if any) shall be paid by the Student to the respective University / College.
  3. If a Student who has withdrawn / been terminated from the course / programme wishes to resume his/her studies, the Student will have to register as a new student. The fees based on the current rate of the year shall apply.
  4. In the event a Student is accepted into a Programme with forecast / trial results and later the actual results is below the forecast / trial results:-
    1. In the event the Student still qualifies to study for the Programme but no longer fulfils the terms of the scholarship / academic bursary, the  scholarship / academic bursary may be withdrawn and the Student shall be required to top-up the requisite fees, where there is a shortfall; or
    2. In the event the Student is not able to satisfy the requirements of the Programme, the Student may, based on his qualifications, enrol for another Programme with any of the Institutions within the BACG. If the Student so enrols, the fees paid shall be transferred to the new Programme and top-up the requisite fees, if there is a shortfall; or
    3. The Student may be required to leave the Programme and may apply for a refund (if applicable) minus any deductions of the requisite tuition fees and other related fees due to the University / College.
  5. Extension Fee (where applicable) – In the event that a Student extends his/her studies beyond the maximum duration of the course / programme, the Student may be charged an additional fee per semester for every extended semester (which is apart from the programme fees)

  6. Repeat Fee (where applicable) – Students are allowed to repeat a course to improve his / her grade.

  7. Retake Fee* (where applicable) – Students are allowed to retake a subject / semester of the programme and the Student may be charged an additional fee accordingly.
    * “Retake”: Where a student may enrol for and complete a subject or semester again after having previously attempted it. For further information on this fee, please contact the respective Programme Coordinators at the University / College.
  8. Resit Fee* (where applicable) – Students are allowed to resit a exam / assignment of the programme and the Student may be charged an additional fee accordingly.
    * “Resit”: Where a student may redo an exam or assignment that they did not pass or were unable to complete successfully on their initial attempt. For further information on this fee, please contact the respective Programme Coordinators at the University / College.

General

  1. Any other payments for student accommodation and other services under BACG may or may not be refunded in accordance with their respective terms and conditions for refund.
  2. BACG has the discretion to interpret the terms contained in this Policy in a manner that is deemed just, fair and appropriate.
  3. For the avoidance of doubt, all monies paid to BAC’s Partner Universities, or collected by / paid to the University / College on behalf of a Partner University, agencies, bodies, embassies or governmental bodies shall be subject to the refund policy of the said entity. The University / College shall not be responsible to obtain or pay any refund on behalf of the Student from the Partner University / other entity.

D. PROCEDURE FOR REFUNDS

  1. The refund, if any, must be submitted in writing will be based on the date on which it is received by the Programme Office of the College / University. Verbal requests for refund will not be considered. No late requests will be entertained.
  2. For further information on the refund process, please contact the respective Programme Coordinators or the University / College.
  3. The refund will take approximately FOUR weeks to process from the date the request is received by the Programme Office. Any incorrect / incomplete information provided may cause a delay in the processing.
  4. If the request for refund is allowed, the refund payment will be made to the Student or made based on the information provided.
  5. Refund payments will be made via online bank transfer to account details provided.
  6. In all cases, any debt owing to the University / College will be deducted from any refund of fees. If insufficient, the balance sums will be claimed from the Student. The University / College shall deduct administrative charges against any refund in order to cover any costs associated with making the refund.

E. PRIVACY & DATA PROTECTION

  1. Information provided by Students is used for administration, management and support services, assessment and analysis which may be disclosed to BACG’s service providers and agents and Partner Universities (if applicable) for these purposes or if required to be disclosed to regulatory authorities, agencies or bodies or where applicable to the foreign authorities, embassies or consulates of an international student’s home country. The said information is necessary for the purposes of a refund (if any) and failure to provide the information or providing inaccurate information may result in the University / College not being able to process the refund or could result in rejection or delay of the refund.
  2. The processing of personal data shall be in accordance with BACG’s Privacy Policy and Students must take note of BACG’s Privacy Policy Notice (available at https://www.veritas.edu.my/privacy-policy/).

F. REVISION / AMENDMENT

  1. The Management has the sole, unfettered discretion to update, review or amend this Refund Policy at any time.
  2. Any such update, revision, amendment or change shall be published on the BACG website. Students are encouraged to frequently check and be informed of the updates, revisions, amendments or changes (if any).
  3. This Refund Policy and the application thereof together with any updates, revisions, additions, amendments and changes made thereto shall form an integral part of the Policy and shall be read together with any other terms and conditions, policies and all other relevant documentation of BACG.
  4. Any queries in interpreting or applying this Policy should be directed in the first instance to the respective Programme Coordinators / Finance Department.
